Position Overview:We are seeking a highly organized and detail-oriented Executive Assistant to provide dedicated support to our executive team. In this role, you will be responsible for managing executive schedules, coordinating meetings, handling communications, and ensuring the smooth operation of day-to-day executive functions. This role requires excellent multitasking abilities, discretion, and a proactive approach to managing tasks for our busy leadership team.

Key Responsibilities:

  • Provide high-level administrative support to the executive team, including managing complex calendars, scheduling meetings, and coordinating travel arrangements.
  • Act as the main point of contact between executives and internal/external stakeholders, handling communications with professionalism and confidentiality.
  • Prepare documents, presentations, and reports for executive meetings.
  • Organize and facilitate executive meetings, including setting agendas, taking minutes, and following up on action items.
  • Assist in planning and coordinating corporate events, meetings, and company initiatives as needed.
  • Anticipate the needs of executives and proactively manage priorities to optimize their time.
  • Handle sensitive information with the utmost discretion and confidentiality.
  • Perform other administrative tasks as needed to support the efficiency of the executive team.
  • Greet and welcome visitors, clients, and guests in a professional and courteous manner.
  • Answer and direct incoming calls to the appropriate individuals or departments.
  • Maintain a tidy and organized front desk area, ensuring it represents our company's image.
  • Manage and distribute incoming and outgoing mail and packages.
  • Schedule and manage appointments, meetings, and conference room bookings.
  • Assist in maintaining office supplies and inventory.
  • Organize and maintain executive filing systems, ensuring the confidentiality and security of records
  • Collaborate with colleagues to ensure a seamless office experience.
  • Coordinate and manage company-wide events, including conferences, corporate meetings, and annual celebrations.
  • Assist executives with day-to-day tasks, including managing calendars, arranging travel, and preparing documents.

Requirements:

  • Bachelor's degree in Business Administration or relevant field
  • Proven experience as an Executive Assistant or similar administrative role
  • Excellent written and verbal communication skills
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
  • Strong organizational and time management skills
  • Attention to detail and problem-solving abilities
  • Ability to prioritize tasks and juggle multiple responsibilities
  • High level of professionalism and discretion
  • Strong interpersonal skills and ability to build relationships at all levels of the organization
  • Ability to work independently and proactively, demonstrating initiative
